Job Description

Working with the commercial and project teams to provide efficient and effective drawing and project documentation service to internal and external customers. As a document controller you will be responsible for maintaining the accurate records of company documentation, document & quality management and carries out standard operational and technical tasks that are usually subject to instructions and workflows. You could be sorting electronic or hard copies of project documentation and producing reports based on this, controlling company and project documentation.

The role will involve:

  • Process project related documentation using current electronic systems and customer document control procedures as required.
  • Assist with the compilation of project related manuals for client project delivery.
  • Archiving and retrieving job records.
  • Scanning, registering and maintenance of hard and soft copies of documents.
  • Maintenance of document and drawing revisions via the electronic document management system to ensure a complete and up to date repository is maintained.
  • Distribution of hard and soft copy documents and drawings to internal and external project stakeholders promptly and accurately.
  • Maintenance of distribution records, folder structures both electronically and any hard copy files (if required).
  • Liaison with external consultants, subcontractors and customers regarding document management and approval issues.
  • Work according to the overall project related document quality checklists, compliant to company and project quality procedures & accurate quality records.
  • Liaising with project teams to ensure accurate and up to date organisation of records.
  • Setting up and maintaining spread sheets to register project information using varied systems to match the demands of the project.
  • Understand the client’s key requirements whilst maintaining a high level of consistency, compliance, auditability and traceability factors throughout the lifecycle of any document, including the
  • Compliance to all internal and external procedures.

Skills & Experience:

  • Have excellent attention to detail and be capable of carrying out tasks efficiently, methodically and accurately;
  • Commercial awareness
  • Handover awareness
  • Excellent understanding of document control processes
  • Experience as a Document Controller in an engineering/manufacturing environment
  • Experience of working with drawings, specifications and client instructions.
  • Experienced at proof-reading and strong attention to detail.
  • EB Network Rail standard working experience
  • Bentley and Assetwise experience (not essential but advantageous)
  • General knowledge of engineering technical terms and understanding of engineering processes.
  • Proficiency in the following software, Microsoft Office packages Adobe Acrobat Professional or similar
