Job Description
Our client is currently seeking an Office Administrator due to business growth. You will be responsible for booking in scheduled work with customers, logging of purchase order numbers, updating customer logbooks and portals, closure of reactive work orders on workflow system, issue of completed job reports and certificates to customers, answering telephone calls, responding to emails, placing orders with suppliers and arranging deliveries dealing with customer enquiries and assisting service manager with general office/admin work. Further duties include:
- Assisting service, office & technical business managers with internal audits
- Assisting service, office & technical managers with preparation for external audits
- Prepare monthly reports as necessary for service, office & technical business manager
- Managing personnel training requirements
- Arranging training courses
- Completion of all service documentation and certification
- Planning and developing toolbox talk’s with service manager
- Assisting with audits of all health, safety and environmental quality audits
- Assisting with ISO 9001 / 14001 document control / audits
- Client log book documentation
- Ensuring documentation all up to date at end of the month i.e. all monitoring details have been added, all certificates uploaded and completed correctly
- Formatting of written job reports when submitted by engineers
- Assist when required, formatting written risk assessments submitted by legionella risk assessors
- Assist with planning using the CRM
- Checking job reports before issuing to customers
- Ordering chemicals, parts, and materials from suppliers
- Assisting office manager in raising invoices on completion of works
